Comparing and Sharing Schedules

How activities reach the right people through assignment, how to turn calendars on and off in the schedule sidebar, and how to compare calendars side by side.

An event schedule in BackOps is not one calendar. It is many calendars that share the same activities: the Event calendar, your own calendar, and one for each collaborator and area. This page covers how a schedule is shared and how to bring several calendars together to compare them.

Sharing Happens Through Assignment

There is no separate "share" step. An activity reaches people by being attached to them. Adding an organizer, a participant, a collaborator, or an area places the activity on the matching calendar, and marking it global places it on the Event calendar for everyone.

Because the activity is attached rather than copied, one activity reaches everyone it concerns, and a change to it shows on every calendar at once. What each person can open is still governed by their permissions, so people see the calendars they have access to and nothing more.

The Calendar Sidebar

The sidebar on the schedule page works like the calendar list in Outlook. It groups the calendars you can turn on and off:

  • General holds your own calendar, shown with your name and "(You)", and the Event calendar.
  • Collaborators lists the collaborator calendars you can see.
  • Areas lists the area calendars you can see.

Check a calendar to show its activities and uncheck it to hide them. The list already leaves out calendars your permissions do not allow, so everything in it is yours to open.

Collaborator and area pages have their own schedule, showing the same calendar locked to that collaborator or area.

Your Personal Calendar

Your calendar holds the activities you are assigned to as a crew member. It is always in the sidebar, and you can turn it on and off like any other calendar.

Compare Calendars Side by Side

Turning on several calendars in a Day or Week view layers their activities on one grid, which gives a combined picture but can get crowded. When you need to compare them without the overlap, switch to Resource view, which gives each selected calendar its own column for the day.

Share a Schedule Outside BackOps

To hand a schedule to people who do not work in the event, build a document in Dynamic Docs. Its Activity Schedule preset inserts a live table of the event's activities that you can filter, format, and export.
