Event Pass and Free Collaborator Access

How Event Pass seats give working access on single events, including to people outside your organization, and what invitees without a pass can do.

Not everyone who works on an event needs a full BackOps Pro seat. An Event Pass gives working access on the events a person is added to, and invitees with no pass at all still get access to their own collaborator.

Event Pass

An Event Pass seat is for someone who works on specific events: a freelance production manager, a department lead brought in for one tour, a client who builds part of the show with you. With an Event Pass they can work across the event, not just their own collaborator, within the permissions you give them.

Event Pass seats can go to people outside your organization. A freelancer or client does not need to be a member to hold one.

To give someone an Event Pass seat, choose the pass under Account when you add them to the event, or later on their crew record. People added with No license use no seat. Depending on how your Event Pass license is set up, its seat count applies either to each event or across all events together. For a per-event pass, the Seats row in Settings › Billing counts the busiest event.

You can change or remove anyone's Event Pass at any time, and removing someone from the event frees their seat. People holding a BackOps Pro seat work on every event without using an Event Pass seat.

Free Collaborator Access

People invited into an event without any pass, such as vendors, venues, and talent teams, can only be given permissions on their own collaborator. Within that collaborator they can do whatever their permissions allow, for example answering advances, working their tasks, seeing their schedule, and uploading files.

For most vendors and partners that is everything they need: they respond to the event rather than build it. As soon as someone needs to see or act on anything beyond their own collaborator, give them an Event Pass.
