Archiving, Restoring, and Deleting Events

How to archive a finished or cancelled event, unarchive it later, and permanently delete events you never want back, one at a time or in bulk.

When a job is over, it should leave your active list without losing anything that happened on it. Archiving does that: the event drops out of active work and keeps all of its data, ready to be restored. Deleting is different. It removes an event and everything in it for good, and is meant for events you never want back, such as test events or duplicates.

When in doubt, archive. An archived event costs nothing to keep and can always come back.

Archive one event

Open Event Settings

Select the event name in the top-left corner and choose Event Settings.

Find Archive event

On the General page, scroll to Archive event.

Archive it

Select Archive and confirm.

Organization admins can also archive from the events table: open the ... menu on the event's row and choose Archive.

Archive several events at once

On the organization's events table, select the events and choose Archive in the bar that appears. Events that are already archived are skipped. Selected drafts are archived too, which is the same as discarding them. Bulk archiving is for organization admins.

Find and restore an archived event

Archived events are hidden from the events table until you turn on Show archived events in the table's view settings. To restore one, select its row and confirm Unarchive event, or choose Unarchive from the row's ... menu. The event comes back exactly as it was. An archived event cannot be opened, so restoring it from the table needs an organization admin.

Discarding a draft also archives it. A discarded draft keeps its intake progress and can be found the same way.

Delete events permanently

Deleting is done from the organization's events table, by organization admins:

Select the events

Select one or more events on the events table. To delete a single event, you can also choose Delete from its row's ... menu.

Choose Delete

Choose Delete in the bar that appears.

Confirm

Read the confirmation and confirm. Deleting removes the event's files, activities, crew, documents, and history, and cannot be undone.

A deleted event disappears from BackOps immediately and can no longer be opened or changed. Its data and files are permanently removed by a daily cleanup 30 days later. There is no way to restore a deleted event from the app, so archive anything you might need again.
