What's Next: Inviting People and Starting to Advance

How to invite crew members into BackOps so they can work in your event, and where to go next once your event's collaborators, areas, tasks, schedule and files are in place.

At this point your event has structure. You have collaborators, crew, areas, tasks, a schedule, and files in place. The next move is bringing other people in so the work can actually happen together.

Inviting People Into BackOps

Adding someone as a crew member stores their contact information, but it doesn't give them access to the platform. When you're ready to bring someone in, invite them from their crew record.

Open the collaborator they belong to

In the event sidebar, open the Collaborators group and choose the collaborator that person is listed under.

Open the Crew tab

The Crew tab lists everyone in that collaborator.

Open the crew member

Click the person's row. In the Account row, choose Invite a user.

Send the invite

Enter the email address they sign in with and click Send invite.

Someone who already has a BackOps account gets access straight away. Anyone else receives an invitation email and shows as Pending until they sign up. You can also invite someone as you add them, by filling in the Account email in the add crew dialog.

Once someone is in, what they can see and do in the event is controlled by their permissions. Access can be given to the whole event or narrowed to a collaborator or an area. See Permissions for how roles and access work, and Licensing for the passes someone outside your organization may need.

Advancing: The Core of BackOps

Once your foundations are in and your team is coming into the platform, the natural next step is advancing.

Advancing is BackOps's system for collecting structured information from your collaborators: technical requirements, hospitality needs, logistics details, production specifications, and more. Rather than chasing that information through email threads and shared spreadsheets, advances let you send structured forms directly to the people responsible, track their responses, and keep everything tied to the event.

It's where BackOps moves beyond project management into something purpose-built for the way events are actually produced. If you've been doing this work in other tools, advancing is likely the feature that will feel most different and most useful.
