Creating and Managing Collaborator Records

How to add companies to your organization's Collaborator Database, assign types, fill in attribute values, find records with views, and delete records you no longer need.

Collaborator records are the entries in your organization's database: one record per venue, vendor, production company or other partner you work with. Records live at the organization level, outside any event, and stay until you delete them.

Open the database from Collaborators in the organization sidebar.

Creating a Record

Select Add collaborator. The dialog asks for a Name and an optional Type.

A record does not need a type. You can create one with only a name and assign types later. The database does not check for duplicate names, so search first.

Opening a Record

Select a record to open its page. The left panel holds its details: name, image, types, and the attribute values for each type, edited in place. The page has two tabs:

  • Crew: the people linked to this company. See crew associations.
  • Offerings: the resources this company provides (see Resourcing). Shown to people who can read your resource inventory.

A record that came from the Flex integration shows that, and its actions menu offers Enrich from Flex.

Changing a Record's Types

A record can hold several types at once. Change them from the record's details panel. Fields update to match the types it now holds.

Removing a type hides that type's fields, but the values are kept. If you assign the type again, or another type that shows the same attributes, the stored values reappear without re-entry.

Finding Records

The list shows each collaborator and its type, and you can add a column for any attribute. Search matches names. Use filters, sorts and grouping on attribute columns to find records by their values, and save a combination as a custom view: venues only, vendors grouped by region, partners missing insurance details.

Deleting a Record

Use the row's Delete action, or select several rows and delete them together. In the app, deleting records and Enrich from Flex are shown only to organization admins. A confirmation appears first, and deleting cannot be undone.

Deleting a record removes it and all its attribute values. Crew linked to it are not deleted: they stay in the organization's crew database without the link. Event copies of the company already pulled onto events stay on those events.
