Configuring Collaborator Types and Attributes

How to define the collaborator types and custom attributes that structure your organization's Collaborator Database, and what happens when you delete or restore one.

Before your team builds collaborator records with structured data, someone needs to define the types and attributes that give the database its shape. Types determine what a record represents. Attributes determine what information is captured for records of each type.

Both are managed in organization Settings, under Types, on the Collaborators page. The settings icon on the Collaborator Database opens the same page. It has two tabs: Types and Attributes.

Creating Attributes

Attributes are the custom fields that capture information about a collaborator. They are defined once for the organization and then placed on whichever types they apply to.

On the Attributes tab, select Add attribute, give it a name and choose its kind:

  • Text, Rich Text, Number, Link
  • Date, Date Time, Checkbox
  • Select and Multi-Select, with options you define
  • File and Multi-File
  • Pickers that point at a collaborator or a crew member, singly or several

An attribute's kind and its select options cannot be changed after it is created, so settle the options first. You can still rename the attribute. Text, link and select values are limited to 500 characters.

Creating and changing attributes needs organization admin access.

Creating Types

Types are the categories that define what a record represents: Venue, Vendor, Production Company, Talent, Client. There are no built-in types; you define the ones that match how your organization works.

On the Types tab, select Add type and give it a name, icon and color. A new type starts with one empty section called Details.

Arranging a Type

Open a type to lay it out. A type has one or more named sections, and each section places attributes in order. For each placed attribute you choose whether it is Required.

The same attribute can sit on several types. A Region attribute on both Venue and Vendor means every record of either type carries that field, and the whole database can be filtered by region with one shared definition.

Types also store Visible and Editable settings for each attribute. They are saved, but no screen lets collaborators edit their own values yet.

Deleting and Restoring

Deleting never throws away values already entered:

  • A type that any record holds is archived instead of deleted. Records keep their values, and the type can no longer be assigned.
  • An attribute that any record has a value for is archived instead of deleted, and keeps its values.
  • Removing a section from a type, or an attribute from a section, keeps the values records hold.

To bring an archived type or attribute back, switch on Show archived in its table, open the row's menu and choose Restore.

The order is up to you, but starting with attributes means you can place them on each type as you create it.

Open collaborator settings

Open organization Settings and select Collaborators under Types.

Create your attributes

On the Attributes tab, create the fields your organization needs. Think across all types, because a shared attribute only needs to exist once.

Create your types

On the Types tab, create each kind of collaborator your organization works with.

Arrange each type

Open each type, add sections, and place the attributes that belong on it.

Events copy these types and attributes when they need them; see collaborator types and properties on an event.
