Linking Crew to Collaborator Records

How to link people from your organization's crew database to a collaborator record, create a new crew member for a company, and unlink someone who has moved on.

People in your organization's crew database can be linked to a collaborator record. This connects a person to the company they work for: a booking contact at a venue, a production coordinator at a vendor, a site manager at a facility. Each crew member can be linked to at most one collaborator record at a time.

Linked crew matter beyond the database. When the company is pulled onto an event, its linked crew come with it as contacts.

Linking Crew to a Record

Open the record

Open the collaborator from the Collaborator Database and select its Crew tab.

Select Add crew

A picker lists the people in your crew database. Search for the person.

Choose and add

Select them and choose Add. People marked Already linked belong to a record already.

If the person is not in the crew database yet, choose New crew member in the picker, enter their name, email and phone number, and select Add. They are created in the crew database and linked to this record in one step.

A person linked to a different record cannot be linked here until they are unlinked there.

The Crew List

Linked people appear in the record's Crew tab. The table supports the same views as the rest of BackOps: choose columns, including crew attributes, sort, filter, and save views. Select a person to edit their details in place.

Unlinking Crew

Use the Unlink action on the person's row and confirm. Unlinking removes only the connection between the person and this record. Their crew record, types, attribute values and access are unchanged.
