Advance Manager for Event-Wide Advance Roll-Ups

How the Advance Manager rolls advance answers up by module across every collaborator in a BackOps event, and how to search, group, and export each module as a PDF.

The Advance Manager is the event-level page for making sense of advance answers in aggregate. Instead of opening one collaborator's advance at a time, it organizes everything by module, showing every answer to a module across every collaborator who received it.

How It Works

The Advance Manager is a top-level item in the event sidebar, available to event admins.

It is organized by module. If a Catering module was included in advances for 30 collaborators, the Advance Manager shows one Catering module. Opening it shows all 30 collaborators' answers side by side in one table. The same goes for every other module: a Golf Carts module shows every golf cart request, and a Production Info module shows every production info answer.

Each table can be searched and grouped, which makes it practical to review a large volume of answers.

Exporting Advance Data

Each module has a Download PDF button that exports every collaborator's answers for that module as a table. Exports are one module at a time and are plain data tables with basic styling, without branding or layout control.

For other views of the same data:

  • The collaborator day sheet covers all of a collaborator's advances with their answers.
  • The area day sheet covers every advance scoped to that area.
  • For branded, formatted documents built from advance data, use Dynamic Docs, which can query advances, questions, and requests.

When to Use the Advance Manager vs. the Collaborator's Advance

The Advance Manager is for reading and exporting one module across the whole event: comparing all catering answers, scanning every equipment request, or handing a department its module roll-up. It is read-only.

Use the collaborator's Advance tab to work with one collaborator: filling in or correcting answers, reviewing them, and approving requests. Approvals for every request in the event are also on the procurement Requests tab.
